Managed Housing Register
LHS can host your Housing Register and manage all the activities related to keeping your applicant records completely up-to-date, bringing savings of tens (or even hundreds) of thousands of pounds a year.
Many local authorities have already exploited the on-line registration functionality of the LHS systems to eradicate the need for expensive re-keying of applicants details into the Housing Register. Applicants simply fill in an on-line form or update new contact details on-line and their details are seamlessly and securely dropped into the Housing Register.
LHS now offers similar on-line functionality for the annual re-registration of applicants and ad hoc change of circumstances. Paper form filling (and tedious and expensive re-keying) is becoming a thing of the past.
E-mail, text or even letter alerts are sent to existing applicants, pointing them at their on-line choices, this can be from simply agreeing that they are interested in staying on the register, to updating their contact details, completing a change of circumstances form or indeed a completely new registration.
This approach has also taken away the need for huge regular mailings to the Housing Register list. It not only saves money in terms of postal and printing costs, but also eliminates the chore of re-keying in the details mailed back by the applicants and saves tens of thousands of pounds in staff time.
The LHS Managed Housing Register service allows organisations to set up policies and re-registration points that match their own housing policy. It also offers applicants a fully-integrated on-line service. On presentation, the applicant is first taken through the on-line “Pre-Assessment Advisor” that offers personal advice and options based on your scheme’s policies.
If the Applicant still needs to register, the On-line Registration Form allows all of his or her details to be captured electronically. This application includes Medical and Change of Circumstances forms that applicants can also access easily when required.
The My Gateway service then provides personalised on-line housing options advice and access to the Choice Based Lettings property adverts and bidding service. This is where the applicant can also be shown other services the scheme may offer - such as Mutual Exchange (including the National Home Swap Scheme), Private Rented Accommodation and others.
As applicants approach their annual review, triggered e-mails and SMS messages are sent to remind them to fill in their on-line re-registration form. As the forms are completed on-line, the applicants’ details are seamlessly and securely updated on the Housing Register.
Plus, where applicants have not given an e-mail address or mobile phone number, a letter is sent in the usual way. Experience has shown that schemes using the LHS Managed Housing Register service can expect their re-registration mailings to drop by 80% or more.
